Privacy Policy
Effective Date: October 23, 2026 Last Updated: October 23, 2026
InstantDesk ("InstantDesk," "we," "us," or "our") is a service of 80 Degrees West LLC, a North Carolina limited liability company. This Privacy Policy explains how we collect, use, share, and protect information when you use InstantDesk.co (the "Site") or our AI voice receptionist service (the "Service").
This Policy applies to two groups of people, and we call out where the rules differ between them:
- Clients: the business owners and staff who sign up for InstantDesk to answer calls for their business.
- Callers: the customers, prospects, or members of the public who call a phone number answered by an InstantDesk AI agent on behalf of one of our Clients.
If you are a Caller, please note that the business you called (our Client) is the one you have a direct relationship with. We act as their service provider. Questions about how a specific business handles your information should go to that business, but this Policy explains our role in processing your call.
1. Information We Collect
From Clients and prospective Clients
- Account and business information: business name, contact name, email, phone number, service area, business hours, and details submitted through our interest and intake forms (services offered, pricing, escalation preferences, call-routing rules, and similar operational details).
- Billing information: we use Stripe to process payments. We do not store your full card number; Stripe retains that on our behalf. We do store your Stripe customer ID, subscription status, and plan.
- Communications: emails, support requests, and beta feedback you send us.
From Callers
- Call audio and transcripts: when a Caller reaches a Client's AI agent, the call may be recorded and transcribed, depending on that Client's settings. This may include your voice, the phone number you are calling from, and anything you say during the call (for example, your name, address, appointment preferences, or other details you volunteer).
- Call metadata: call time, duration, and outcome (for example, appointment booked, message taken, call transferred).
- AI-generated summaries: our systems generate a written summary of each call for the Client.
Automatically collected (Site visitors)
- Standard web analytics (pages visited, referring source, device and browser type) via our analytics provider, when you visit instantdesk.co.
2. How We Use Information
We use the information above to:
- Provide, operate, and improve the Service (answering calls, booking appointments, generating call summaries)
- Set up and support Client accounts, including onboarding and troubleshooting
- Contact you about requests you submit through our forms, by phone, text, or email
- Process payments and manage subscriptions
- Communicate with Clients about their account, service changes, or beta feedback
- Maintain the security and reliability of the Service
- Comply with legal obligations
We do not sell Caller or Client personal information.
3. AI Voice Interactions and Call Recording
InstantDesk uses third-party AI voice technology (see Section 4) to answer, transcribe, and respond to calls on behalf of our Clients. When you speak with an InstantDesk agent:
- You are speaking with an AI system, not a human, unless and until your call is transferred to Client staff.
- Your call may be recorded, depending on the Client's configuration. Where recording is enabled, InstantDesk and/or our Client will provide notice as required by applicable law before or at the start of the call.
- Clients are responsible for complying with call-recording consent laws in the states where their customers are located, including two-party and all-party consent requirements. InstantDesk provides the recording toggle and configuration; the Client controls whether it is on for their agent.
4. Third-Party Service Providers
We share information with the following categories of service providers to operate InstantDesk. Each processes data only as needed to provide its service to us.
| Provider | Purpose |
|---|---|
| Various AI platforms | Underlying voice AI platform: call handling, telephony, speech-to-text and text-to-speech, call flow logic |
| Various text-to-speech providers | Text-to-speech voice generation |
| Various LLM providers | Language model processing for conversation and call summarization |
| Stripe | Payment processing and subscription billing |
| Google Calendar, GoHighLevel, Meta (Lead Ads and WhatsApp), Slack, Calendly | Optional integrations a Client may connect (calendar sync, CRM, lead capture, notifications), used only where a Client has enabled them |
| Cloudflare | Website hosting and basic traffic analytics |
We do not control how these providers further process data beyond what is needed to deliver their service to us, but we select providers that maintain reasonable security practices.
5. Data Sharing and Disclosure
We share information:
- With the Client a Caller contacted, to deliver call summaries, transcripts, and recordings to that business
- With the service providers listed above, to operate the Service
- If required by law, subpoena, or legal process
- In connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections
- With your consent, for any other purpose
6. Data Retention
- Call recordings and transcripts are retained for 90 days from the date of the call, unless a Client requests earlier deletion or a longer period is required by law or Client agreement.
- Client account and billing information is retained for the duration of the account plus a reasonable period afterward for legal, tax, and accounting purposes.
7. Data Security
We use commercially reasonable technical and organizational measures to protect information, including encrypted transmission and access controls on our systems and those of our service providers. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Your Rights and Choices
- Clients may request access to, correction of, or deletion of their account information by contacting hello@instantdesk.co.
- Callers who wish to request deletion of a specific call recording or transcript may contact the business they called, or reach us directly at hello@instantdesk.co and we will coordinate with the relevant Client.
9. Children's Privacy
InstantDesk is not directed at children under 18, and we do not knowingly collect personal information from children through the Service.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new "Last Updated" date. Material changes affecting Clients will be communicated by email.
